Gwynedd Airport Taxis operates on clear, fair terms. By booking with us, you agree to these Terms & Conditions. We're here to provide excellent service, and these terms protect both you and us.

Bookings & Confirmation

📋 How to Book

  • Bookings can be made via WhatsApp, phone call, email, or through our online form
  • A booking is only confirmed when you receive a confirmation message from us
  • Confirmation includes journey details, pickup time, pickup location, destination, and agreed price
  • You'll receive a final reminder 24 hours before your journey

💬 Required Information

To complete your booking, please provide:

  • Full name and contact phone number
  • Pickup location (full address or clear landmark)
  • Drop-off location
  • Preferred date and time
  • Number of passengers
  • Any special requirements (luggage, accessibility needs, child seats, pets, etc.)
  • For airport transfers: your flight number (helps us monitor delays)

✅ Confirmation Details

Your confirmation message will include:

  • Journey pickup and drop-off details
  • Agreed fare (fixed price – no surge pricing)
  • Pickup date and time
  • Driver details (provided 24 hours before journey)
  • Cancellation policy
  • Contact number for journey updates

Pricing & Payment

💰 Fare Agreement

  • Fares are agreed in advance based on pickup location, destination, route, and any special requirements
  • We provide transparent quotes with no hidden charges
  • Fixed price guarantee – what we quote is what you pay
  • Quotes are typically valid for 7 days
  • Changes to your booking (different location, time, or date) may affect the price – we'll confirm new pricing before you proceed

💳 Payment Methods & Timing

  • Payment is normally at the end of the journey unless otherwise agreed
  • Accepted payment methods: Cash, debit/credit card, bank transfer, PayPal
  • Card payments: Can be made online before booking or by card reader with driver
  • Bank transfer: For larger bookings or corporate accounts
  • Receipts: Provided for all payments (email or text)

💎 Deposits

  • Most bookings: No deposit required
  • Large group bookings (5+ passengers): 25–30% deposit required
  • Multi-day tours: 30% deposit to secure dates
  • Long-distance journeys (100+ miles): Small deposit may apply
  • Corporate/bulk bookings: Terms agreed in advance
  • Any required deposit will be clearly stated before booking and fully credited against your final fare

Cancellations & Modifications

🔄 Modification Policy

You can modify most bookings up to 24 hours before pickup. Modifications include:

  • Changing pickup or drop-off time
  • Changing pickup or drop-off location
  • Adjusting passenger numbers (subject to vehicle capacity)
  • Rescheduling to a different date

Important: If modifications change the journey cost significantly, we'll provide a new quote for your approval.

❌ Cancellation Policy

  • Free cancellation: Cancel up to 24 hours before pickup for a full refund, no questions asked
  • Short notice cancellations (within 24 hours): May incur a cancellation fee (typically 50% of booking value)
  • No-shows: If you don't show up without prior notice, the full booking fee will be charged
  • We're flexible: If emergencies arise, contact us immediately – we understand life happens and will try to work something out

How to cancel: WhatsApp, phone, or email – as soon as possible.

Punctuality & Delays

⏰ On-Time Commitment

  • We always aim to arrive on time and build in reasonable margins for traffic and delays
  • We monitor traffic conditions and contact you if delays are likely
  • For early morning or time-sensitive journeys (e.g., airport runs), we arrive with extra time built in
⚠️ Delays Beyond Our Control: We cannot be held responsible for delays caused by events beyond our control, including: accidents, road closures, extreme weather, natural disasters, traffic incidents, or other force majeure events. In these circumstances, we'll do our best to update you and adjust accordingly, but liability is limited.

✈️ Flight Delays (Airport Transfers)

  • For airport pickups, we monitor flight information where you've provided your flight number
  • If your flight is delayed, we automatically adjust your pickup time
  • You'll be notified of any significant changes to your pickup
  • Note: If your flight is extremely delayed and we've already committed to another booking, we'll discuss options with you, subject to driver availability

Passenger Conduct & Safety

👥 Expected Behavior

We expect all passengers to behave respectfully and safely during journeys. This means:

  • Treating the driver and vehicle with respect
  • Following safety instructions (seatbelts, etc.)
  • No aggressive, abusive, or threatening behavior
  • No smoking, vaping, or drug use in the vehicle
  • No eating or drinking messy food (water and soft drinks okay)
  • Keep music and conversations at reasonable volumes
⚠️ Right to Refuse Service: Our driver may refuse to carry any passenger who: is abusive or violent toward the driver or other passengers, appears to be a danger to themselves or others, is under the influence of alcohol/drugs to a degree affecting safety, is likely to cause damage to the vehicle, or is otherwise disruptive. No refund will be given. If a passenger is removed mid-journey, the full fare remains payable.

🚗 Vehicle Safety

  • All passengers must wear seatbelts
  • Children require appropriate car seats (provided upon request)
  • Doors and windows will be locked during transit for your security
  • Driver will maintain focus on the road with no distractions

Luggage & Valuables

🧳 What We Carry

Standard luggage: Suitcases, bags, backpacks are welcome and included in your booking.

Capacity: Up to 4 large suitcases plus cabin luggage, depending on passenger count.

📦 Packing Responsibility

Your responsibility: Ensure luggage is securely packed and suitable for transport.

Loose items that could shift during transit are your responsibility to secure.

💎 Valuables & Fragile Items

Not covered: We are NOT responsible for fragile, valuable, or irreplaceable items in luggage.

Examples: Jewelry, electronics, important documents, artwork, antiques.

⚠️ Special Items

Must be agreed in writing: Special items like musical instruments, sports equipment, or valuable goods require prior agreement and may incur additional charges.

We can usually accommodate, but need advance notice.

🛄 Large or Unusual Items

If you need to transport large, unusual, or heavy items (golf clubs, bicycles, equipment, etc.), please contact us in advance. We'll confirm if it fits and discuss any additional charges.

Liability & Disclaimers

⚠️ Limitation of Liability: We take all reasonable care in providing our services. However, we are not liable for: indirect or consequential losses (e.g., missed flights, connections, business losses); delays or cancellations beyond our control; damage to luggage or valuables unless explicitly agreed in writing; or any other losses not directly caused by our proven negligence.

🛡️ Insurance

  • We are fully licensed and insured to carry up to 4 passengers plus luggage
  • Insurance covers passenger liability, vehicle damage, and third-party claims
  • You are entitled to make a claim through our insurance for proven injury or loss caused by our negligence

⚖️ Dispute Resolution

  • Complaint procedure: If unhappy with any aspect of your service, contact us immediately
  • We'll investigate your complaint within 5 working days
  • We'll attempt to resolve the issue fairly and promptly
  • If unresolved, you may pursue small claims court or other legal remedies

Licensing & Regulations

📜 Our Credentials

  • Fully licensed taxi operator registered with local authorities
  • All drivers hold professional taxi licenses and are DBS checked
  • Vehicle is road legal, regularly serviced, and MOT'd
  • Comprehensive insurance in place covering all passengers
  • Compliant with all UK taxi regulations and passenger protection requirements

Special Circumstances

👨‍👩‍👧‍👦 Group Bookings

  • Standard vehicle capacity: 4 passengers
  • For larger groups: We can arrange multiple vehicles or recommend alternatives
  • Group bookings may require a deposit
  • A designated contact for the group must provide all booking details

🌍 Long-Distance Journeys

  • Journeys over 100 miles may require a deposit
  • Pricing is confirmed in advance and fixed
  • Regular rest breaks will be taken (driver safety)
  • Overnight stops or multiple-day arrangements are quoted separately

🗺️ Tours & Experiences

  • Tours are customizable based on your interests and time available
  • Pricing includes vehicle, driver time, and local commentary
  • Meals, attractions, and activities are quoted separately
  • Multi-day tours may require a deposit to secure dates
  • Cancellations follow the same policy as regular bookings
